1. Use and application
These Terms & Conditions govern the use of Steady Sense services. By engaging Steady Sense, the Client, organisation, solicitor or other instructing party accepts the terms applicable to them.
Steady Sense operates on a self-employed and freelance basis and provides the professional services described in its current price list or an agreed quotation, payment request or booking confirmation.
The payment, prepaid package, cancellation and credit provisions apply where the Client is personally responsible for the relevant charges. Where a service is instructed, arranged or funded by an organisation, employer, solicitor, insurer, agency or another third party, the financial arrangements are governed by the separate agreement with that party.
The Client remains subject to the provisions concerning professional conduct, confidentiality, information sharing, data protection, attendance and recording, but is not personally responsible for charges payable by a third party unless this has been clearly communicated and separately agreed in writing. If third-party funding ends, payment responsibility does not automatically transfer to the Client. Any continuation on a self-funded basis must first be agreed with the Client.
2. Professional standards
Steady Sense practitioners work within the professional and ethical standards applicable to their role, qualifications, registration, membership and scope of practice.
3. Electronic onboarding, confidentiality and information sharing
A message submitted through the Steady Sense website contact form is an initial enquiry only. It does not book an appointment, create a service contract or confirm that Steady Sense has accepted an instruction.
When a service is arranged, Steady Sense may use an electronic Client Onboarding Form to collect the contact, administrative, referral, emergency-contact and service information required to provide the service. Submission records the time of acknowledgement and the controlled versions accepted. The Client should retain the automated confirmation email.
Information shared by the Client is treated as confidential and will not normally be disclosed to another party, including a referrer, instructing organisation or payer, without the Client’s consent. Information may be disclosed where required or otherwise justified by law, safeguarding obligations, risk to the Client or another person, court proceedings, or recognised professional and ethical duties. Referral, instruction or payment by another party does not by itself authorise disclosure.
Where appropriate, the onboarding form provides a separate information-sharing choice. Consent may be granted, restricted or refused, subject to the legal, safeguarding, professional and evidential requirements of the service. Administrative contact details may be used for service communication and scheduling; this is not marketing consent. Personal data is processed under the Steady Sense Privacy Notice and applicable data-protection law.
4. Payment and booking
The particular service, session duration, number of sessions and applicable price are determined by the current price list and the relevant quotation, invoice, payment request or booking confirmation. Prices for organisations are provided on request or agreed separately in writing.
Payment is normally made electronically. Unless otherwise agreed, payment should be received at least 48 hours before a session. An appointment is considered booked when the required payment has been received, unless another arrangement has been agreed.
Services provided to businesses are normally due for payment within seven days of the invoice unless otherwise agreed in writing. No separate administration charge applies merely because a Client cancels a first appointment or decides not to continue.
5. Prepaid services and packages
A prepaid service or package contains the number and type of sessions stated in the applicable price list and payment document and may be used only for that type of service unless otherwise agreed in writing. It is personal to the Client and cannot be transferred to another person without written agreement.
Prepaid services may include therapy, coaching, supervision, assessment or another professional service. The weekly allocation rules in this section apply only where the price list, quotation, payment request or booking confirmation describes the service as a package with an agreed weekly schedule. Other prepaid services are governed by the specific terms stated in the relevant document and, where that document is silent, by the general cancellation provisions in section 6.
A weekly package price is lower than the combined standard price of the individual sessions. The discount is provided in return for the Client’s commitment to consistent work during the agreed working weeks. A “working week” means the days and hours during which Steady Sense normally offers sessions under its current working schedule, as communicated to the Client.
Each weekly package session is allocated to an agreed working week. The Client may request a different day or time within the same working week. A change is subject to availability and takes effect only when confirmed by Steady Sense. A confirmed change within the same working week does not affect the package price.
A weekly package session does not automatically transfer to a later working week at the Client’s request, regardless of how early the request is made. Steady Sense may expressly agree an exception because of illness, exceptional circumstances or a professional reason.
If a weekly package session is cancelled with at least 48 hours’ notice and no alternative is agreed within the same working week, no late-cancellation charge applies, but the package schedule is not extended. The unused monetary value is dealt with through the package recalculation and refund or credit provisions below. If less than 48 hours’ notice is given, the cancellation provisions in section 6 apply.
Where professionally appropriate, future sessions may be held earlier, including more than one session within a working week. Each session held early is deducted from the total number purchased and cannot later be claimed again. This does not mean that Steady Sense provides an emergency or 24-hour service.
If the Client does not wish to continue the agreed weekly arrangement or the allocated working weeks end before all package sessions are delivered, the package discount ceases to apply. Sessions already delivered and any properly chargeable cancelled or missed sessions will be recalculated at the standard single-session price for the same service disclosed when the package was purchased.
6. Cancellations, rescheduling and non-attendance
A single session, or an appointment within a prepaid service that is not subject to an agreed weekly schedule, may be cancelled without a session charge by giving at least 48 hours’ notice. Subject to availability and confirmation by Steady Sense, it may be rescheduled to a later date. The same-working-week restriction does not apply to a single session unless this was expressly agreed in advance.
A weekly package session may be moved only within its allocated working week, subject to availability and confirmation, unless Steady Sense expressly agrees an exception under section 5. Timely cancellation does not create a right to extend the package into a later working week.
Where less than 48 hours’ notice is given, Steady Sense may charge up to the full session fee if the reserved time cannot reasonably be offered to another Client. If the Client has not joined or arrived within 20 minutes of the agreed start time and has not contacted Steady Sense, the appointment may be treated as non-attendance.
If Steady Sense confirms another appointment within the same working week, the change is not treated as a cancellation, including where it was requested less than 48 hours in advance. If the appointment is successfully reallocated or Steady Sense avoids a material part of the loss, any cancellation charge will be reduced accordingly. A charge may also be waived or reduced in exceptional circumstances.
7. Refunds and monetary credit
Where a positive balance remains after the applicable package calculation, the Client may choose a refund or monetary credit for future sessions of the same type.
Credit represents a monetary value and not a guaranteed number of sessions. It does not preserve the discount from a package that has ended and is used according to the price applicable when a future session is booked, subject to availability and the validity period stated in the price list or payment document. Where no other period is stated, credit is valid for 3 months from the date it is issued.
Credit may be used for another type of service only with written agreement from Steady Sense and any necessary price adjustment. Steady Sense will not replace a refund with credit without the Client’s agreement.
If Steady Sense cancels an appointment, the Client may choose to reschedule, receive session credit or receive a refund of the affected amount.
8. Steady Sense’s right to end a service
Payment does not guarantee a particular outcome or require Steady Sense to continue a professional relationship where, in its reasonable professional judgement, the service is no longer appropriate, safe, ethical or within the practitioner’s competence or scope of practice.
Steady Sense may also end the service following non-payment, serious non-engagement, a breakdown of professional boundaries, abusive or unsafe behaviour, or another serious breach of these Terms. Reasonable notice will be provided where possible.
Where termination is not caused by the Client’s serious breach, any unused prepaid balance will be refunded or retained as credit at the Client’s choice.
9. Recording
Sessions are not routinely audio or video recorded. Where recording is proposed for a professional purpose or requested by the Client, it must be agreed in advance and appropriate consent obtained before recording begins.
Where a Client requests a recording for personal use, an additional fee may apply. Any fee and the relevant delivery, storage and deletion arrangements will be agreed beforehand.
10. Changes and electronic acknowledgement
Steady Sense may update these Terms & Conditions. Changes do not apply retrospectively to a service or package already purchased unless the affected parties expressly agree or a change is required by law.
The Client’s electronic onboarding record will retain the version acknowledged at the time. A later version will not overwrite that historical record.
By confirming these Terms through the Steady Sense electronic onboarding process, the Client acknowledges that they have read and understood this controlled version and agree to the provisions applicable to them.
Nothing in these Terms limits any statutory rights that cannot legally be excluded or restricted.
